Based in Shanghai, this individual will form part of a global team supporting not only the Shanghai office, but the whole Asia region After dealing with the effects of a global pandemic, the way staff work has changed, and this has provided us with exciting new challenges to best support not only office-based staff but also hybrid working. About the Team
Workplace Services is a newly formed team within GSMA, following the merging of both the Facilities and IT (Information Technology) support teams. Forming the core ‘support’ function within the organization it is our responsibility to ensure that staff have not only comfortable and inspiring spaces to work, but also innovative technology at their disposal. Keeping one eye on day-to-day support to ensure existing spaces and kit function as they should, with another eye on new and innovative opportunities ensures the service we provide remains of a high quality today and in the future.
About the Role
We are looking for a suitable candidate who will report into the Senior Manager of Corporate Services and help support not only the Shanghai and Beijing offices, but all Asia-based staff. Duties may include:

Day-to-day management of the office, such as maintenance of workstations and meeting rooms, as well as ensuring areas such as kitchen, toilets and entrance area are working as they should be, escalating any issues to suppliers or building management as necessary, and managing the contracts/relationships with these external partners. -
Facilitating access to and from the office, for staff and guests as required, also ensuring tidiness and conferencing systems functional for meetings.

Management of office supplies (including stationery, small IT items and catering) and post/deliveries management (incoming and outgoing), and management of off-site storage and archiving facility.

Providing reactive support to incoming relevant ServiceHub tickets.

Being responsible for joiner/leaver process - induction and supply/retrieval of access pass and IT equipment.

Providing health & safety support and recommendations in line with GSMA’s standard practices, as well as conducting workstation assessments to support staff wellbeing.

Providing support for Beijing office (including occasional visits), and at our annual Mobile World Congress event in Shanghai.

Responsible for Input VAT verification and submit regularly onto the government platform and engage in the e-fapiao system development.

Review CNY expense claims in GSMA Hub and perform as the approver.

Work with the banks and regulator for cross-border inward payment declarations.

Working with Workplace Services colleagues to configure laptops and mobile phones for new joiners and to provide day-to-day support of existing IT kit within the office, including laptops, mobile phones, and AV kit.

Pro-actively managing local IT stock (laptops, mobile devices) to ensure adequate stock availability.

Management of and lead contact for local mobile phone contract, including resolution of issues, new contracts, and invoice payment.

Help to manage supplier payment requisition, receipts, and monthly payment with the Invoice team.

Being proficient in using Microsoft software and GSMA audio visual kit, enabling support of internal events/meeting (such as Staff Calls) where necessary (training would be available if a preferred candidate did not meet this requirement).

Submit the regular Statistics Bureau reports onto the government platforms in a timely manner.

Support to file physical financial documents and annual auditing projects and commercial inspection processes.

About You
The ideal candidate for the role should be able to demonstrate the following;

Experience working in a service focussed organisation or team. -
A positive ‘can-do’ attitude, and willingness to learn new tasks from colleagues.

Being a good team player with flexibility to work on Facilities, IT and/or Finance tasks.

Ability to respond to incoming and reactive issues and resolve in a successful and timely manner.

Being organised to ensure tasks with a deadline are completed efficiently.

A good telephone manner, writing skills, and the ability to understand and communicate instructions clearly.

Ability to build relationships with staff, particularly in the Asia region, to ensure staff know who to contact when requiring support.

Proficiency (intermediate level or above) in the use of Microsoft Outlook, Word, Excel, and PowerPoint.

Willingness to travel (infrequently) to provide in-person support to our Beijing office.
