CHURCH ADMIN EXECUTIVE (FULL-TIME):
We are seeking to hire an admin executive to manage our church office administration matters and to look after the church premises in order to keep it safe, clean, and well-maintained.
The church admin executive is to be committed to the church and the ministry of the church. The executive’s goal is to maintain the interests of the church and he/she is also privy to confidential information and should maintain discretion and confidentiality as necessary.
MAIN DUTIES AND RESPONSIBILITIES:
- Perform day-to-day clerical duties, including answering phone calls, attending to enquiries, preparation and printing of documents, managing church mail and deliveries, collating and submitting staff expense claims etc.
- Prepare and submit for approval payments to vendors, reimbursement to church members in church ministries and other relevant agencies or persons.
- Organise a systematic filing system to ensure accurate and up-to-date records in church database, including staff records, vendor and contractor records etc.
- Follow-up with various church ministries and support the preparation of both hard and soft copies of weekly church bulletin as directed.
- Prepare reports and other in-house materials as necessary (e.g. meeting agenda, meeting minutes, email announcements to church members, presentations etc).
- Provide secretarial support to the ministerial team, including contacting and scheduling external speakers and in-house interpreters for sermons and events.
- Liaise with various church ministries and committees to provide support in administrative and logistical matters as necessary.
- Assist in maintaining the church website to ensure up-to-date information is displayed• Review and recommend plans, policies, and processes concerning administration and facilities matters to improve efficiencies.
- Oversee the upkeep and maintenance of church building facilities and stock-taking.
- Schedule and supervise vendors and contractors to ensure maintenance and orderliness of church premises.
- Ensure permits are renewed on timely basis (e.g. elevator operation permit, fire permit etc).
- Perform any other ad-hoc duties as required.
REQUIREMENTS AND SKILLS:
- Educational Qualification – Minimum Diploma or equivalent.
- Preferably relevant experience in a administrative related field.
- Familiarity with Microsoft Office (Word, PowerPoint, Excel etc).
- Able to speak, read, and write in English (additionally in Chinese is desired to minister to our Chinese-speaking members). Able to work independently with minimal supervision and takes initiative to follow-up and make recommendations.
- Possess strong organisational skill and able to multi-task with good time-management and prioritisation.
- 5-day work week, one of which during the church services on Sunday.
- Comfortable to interact with church members and visitors.
EXPECTED BASIC SALARY:
- S$2,300 to S$3,000 (salary will commensurate with experience)
