We are seeking a highly organized and dedicated individual to fill the role of Personal Assistant. The successful candidate will be responsible for providing comprehensive administrative and logistical support to a busy professional or executive. The ideal candidate should be proactive, efficient, and able to handle a variety of tasks with discretion and professionalism.
Calendar Management: Efficiently manage and organize the executive's calendar, schedule appointments, meetings, and events. Prioritize tasks and ensure optimal use of time.
Communication: Act as a liaison between the executive and various stakeholders, including clients, colleagues, and business partners. Handle phone calls, emails, and other forms of communication with professionalism and discretion.
Travel Coordination: Arrange and coordinate all aspects of business and personal travel, including flights, accommodations, transportation, and itinerary planning. Ensure smooth travel experiences and anticipate potential issues.
Meeting Support: Prepare meeting agendas, documents, and presentations. Take meeting minutes and follow up on action items as necessary. Coordinate logistics for both in-person and virtual meetings.
Document Management: Organize and maintain physical and electronic documents, files, and records. Ensure all confidential information is handled appropriately and securely.
Task Management: Assist in managing and prioritizing tasks, ensuring deadlines are met. Delegate tasks to appropriate team members when necessary and track progress.
Personal Errands: Handle personal errands and tasks as needed, including managing appointments, shopping, reservations, and other personal arrangements.
Research: Conduct research on various topics to support decision-making and information gathering. Summarize findings and present relevant information to the executive.
Event Planning: Assist in planning and coordinating company events, conferences, and special occasions. Manage invitations, RSVPs, logistics, and other event-related tasks.
Expense Management: Track and reconcile business expenses, prepare expense reports, and ensure accuracy in financial documentation.
Qualifications:
- High school diploma or equivalent; Bachelor's degree preferred.
- Proven experience as a personal assistant or in a similar administrative role.
- Strong organizational and multitasking skills.
- Excellent communication skills, both written and verbal.
- Proficiency in Microsoft Office Suite and other relevant software.
- Discretion and confidentiality in handling sensitive information.
- Ability to adapt to changing priorities and work well under pressure.
- Problem-solving skills and a proactive approach to tasks.
- Attention to detail and commitment to accuracy.
- Flexibility to work outside regular business hours as needed.
- Knowledge of basic bookkeeping and financial management a plus.
